General Purpose of Job: Process, coordinate, and schedule patient referrals and follow up appointments. Provide support and perform a variety of secretarial/administrative tasks for the department. Responsible for creating an experienced based service by greeting every patient using AIDET while performing check in/check out duties. Responsible for accurately gathering pertinent patient information and patient preferences during the scheduling and registration process. Essential Duties: This job description is intended to cover the minimum essential duties assigned on a regular basis. Associates may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position. Process and schedule patient appointments including oncology and non-oncology infusions, injections, and provider appointments. Displays a high level of organization and is capable of effective and efficient multi-tasking. Greets and checks in patients; provides information and assistance as needed in person and by phone; refers individuals to appropriate personnel. Obtains patient’s demographics, medical, and insurance information and records information; obtains insurance authorization, co-pays, co-insurance, deductibles, out of pocket expenses, and number of allowed visits. Collects all necessary information needed for proper billing. Assist patients and participants with completion of required paperwork; ensures accuracy and completeness of paperwork and enters information into computer system. Contacts insurance companies regarding extensions and continuations of clinical services. Working knowledge of diagnosis codes and treatment codes in order to obtain proper authorizations. Types letters, correspondence, forms, reports and other documents. Compiles and maintains department statistics; generates related reports. Performs other clerical related tasks i.e. copying and filing. Establishes and maintains departmental records and files. Attends staff meetings and in-services as assigned. Answer all incoming, outgoing, and inter-hospital phone calls using AIDET. Relays information to proper team member, takes messages, answers all patient and team member inquiries. Professional certification preferred Work Experience
Minimum of two years of advanced secretarial training and/or experience
Minimum of 6 months experience with EPIC scheduling applications within the past year
Coursework/training in office management, business or related fields preferred
Secretarial/administrative experience in a medical related field preferred
Customer service experience and Medical Terminology preferred Education
