The OR Scheduler is responsible for coordinating diagnostic and therapeutic procedures for surgical patients and managing the operating room schedule. This includes handling patient intake, communicating with surgeons, and ensuring all medical records and consents are valid.
Candidates should have some experience in medical scheduling and proficiency with software like EClinical Works and Amkai. The role requires the ability to manage fast-paced environments and handle protected health information (PHI) according to guidelines.
· Schedule diagnostic and/or therapeutic procedures for all surgical patients and visits with medical personnel
· Operate scheduling programs: EClinical Works and Amkai
· Compile Patient records, procedure orders and consent to ensure they are valid within a 30-day time period
· Obtain and evaluate patients’ profiles for upcoming visits and resolve scheduling conflicts
· Work along side with specialist surgeons about schedules, patients and any changes
· Answer phone calls and emails, greeting patients and prospective patients and reminding them of upcoming appointments
· Perform patient intake, including the completion and filling of all necessary records
· Schedule staff coverage in order to ensure the company’s best operations standard
· Produce and process schedules and reports as they are requested by administrative staff, customers and clients
· Extracts patient demographic data from surgical information sheets and inputs into operating room information system
· Obtains preliminary operating room scheduling information from clinical and surgical services and enters into scheduling system according to the system coding requirements
· Monitors tentative schedules for missing service appointments and contacts appropriate service to confirm or resolve
· Works with management to make any monthly adjustments to the schedule and communicates changes to surgeons’ offices and others, as appropriate
· Determines the order in which the patients are scheduled, by reviewing procedures, time needed, and schedules inpatients in accordance with Operating Room guidelines
· Posts add-on cases and emergency cases to scheduling system as required; reviews waitlist and schedules cases as rooms become available
· Prints preliminary and final schedules for operating rooms on a daily basis, forwards final schedule to shared drive, and makes copies and distributes as appropriate
· Adjust operating room schedule according to written guidelines and communicates changes to surgeon's offices and others as appropriate;
· Uses computer applications or other automated systems such as spreadsheets, word processing, calendar, e-mail and database software in performing work assignments
· Accesses protected health information (PHI) in accordance with departmental assignments and guidelines defining levels of access (i.e., incidental vs. extensive)
· May perform other incidental tasks, as needed
