The Administrative Assistant will provide clerical and administrative support, working alongside an inpatient team of medical professionals on a clinical pediatric unit, assisting with communication, scheduling, and correspondence. Key duties include managing communications with referring hospitals, typing reports, screening calls and mail, maintaining calendars, and assisting with travel arrangements and expense tracking.
Minimum requirements vary by level (Administrative Assistant, Intermediate, or Senior), but all require a High School Diploma or equivalent. The entry-level role requires no experience, while the Intermediate level requires 1+ year and the Senior level requires 3+ years of relevant experience. Knowledge of QGenda, Excel, Word, PowerPoint, and Visio is desired or a willingness to learn.
Work alongside inpatient team that consists of Residents, Medical Students and attending Physicians on clinical hospital pediatric unit Assist inpatient team with communication with referring hospitals and primary care offices Type memos, correspondence, forms, and technical or confidential reports. Receive and screen incoming calls and mail, answer routine inquiries, and route calls to appropriate individual. Maintain calendars. Schedule and confirm appointments, meetings, and travel arrangements. Review and answer standard correspondence. Provide general, clerical coordination to support office operations. Assist with arranging business travel, scheduling meetings, and supporting agenda management and expense tracking. Review and answer correspondence, as well as screen callers and visitors, which may include confidential matters. Maintain electronic files and produce reports. Provide administrative support for special projects. Knowledge of QGenda Scheduling Software is desired, but not necessary. Excel, Word, and Power Point. Knowledge of, or willingness to learn Visio. In addition to the above job responsibilities, other duties may be assigned.
The Pediatric Department will be hiring at an Administrative Assistant or Intermediate Administrative Assistant level; however, may consider a Senior Administrative Assistant. Administrative Assistant: Education: High School Diploma or equivalent required.
3+ years relevant experience required. Physical Demands This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs. Position Type & Work Location This is a non-exempt-level, benefited position.
